Office Assistant


Description: Optimal Defense Solutions is seeking an Office Assistant to provide with clerical support services for the Oahu District, Highways Division, Department of Transportation (DOT). Responsibilities:

  • Creates, edits. prints, stores. retrieves and deletes documents us ng a computer and word processing and other software, in draft or final form, from rough or corrected copy where format and arrangement are not clearly indicated.
  • Prepares, reviews and processes forms, records, reports, applications and other documents for accuracy, completion and conformance to established requirements.
  • Checks records and forms such as applications, permits, requisitions, vouchers and other materials for completeness and accuracy evaluates the information contained therein for conformance with established requirements; and processes documents in accordance with established policies and procedures.
  • Searches through a variety of paper and electronic files and records, extracts, compiles and summarizes information and prepares periodic and special reports.
  • Composes routine correspondence and letters of acknowledgement.
  • Sets up and maintains paper and electron c files and revises filing systems as necessary.
  • Provides general information and resolves complaints in person or over the telephone involving explanation of rules, regulations, policies and procedures and knowledge of the organization's purpose and functions.
  • Determines the need for and/or makes routine orders for necessary supplies, materials or other items.
  • Makes arrangements for travel, equipment maintenance, telephone service, and other similar matters.
Requirements: Services provided and duties performed will consist of but are not limited to:

Job Qualifications:
  • Education: Shall have at minimum a high school diploma or equivalent; TWO (2) years of college preferred.
  • Experience: Must have prior knowledge of and experience with operating and maintaining common office appliances and equipment; ONE (1) year of work experience involving customer service required.

Program Management Support


Description: Optimal Defense Solutions is seeking a candidate to provide program management support at the Executive Office on Aging (EOA) for federal programs housed under the Advocacy, Education, and Outreach Section (AEOS). Programs include the Senior Medicare Patrol (SMP) program, Hawaii State Health Insurance Assistance Program (SHIP), Long-term Care Ombudsman Program, and the Medicare Improvements for Patients and Providers Act (MIPPA) Program. Responsibilities:

  • Managing a federal grant;
  • Volunteer program management and coordination;
  • Building partnerships with community organizations;
  • Coordinating marketing activities (media, website, advertising, collateral);
  • Project planning, implementation, and evaluation;

Janitorial Services-Custodian


Description: Optimal Defense Solutions, LLC is seeking an energetic and highly motivated candidate to perform complete janitorial services at the VA Honolulu Vet Center. Candidate must have experience working with, and around fully occupied office spaces. Services shall be performed in a manner that shall maintain a satisfactory facility condition and present a clean, neat, and professional appearance. Responsibilities: Responsibilities shall include but are not limited to:

  • Vacuuming floors (approximately 3,300 sq. ft. of office space) and fabric furniture
  • Emptying trash cans and recycle bins
  • Cleaning and resupplying (2) unisex restrooms
  • Restocking all paper products
  • Dusting blinds, light fixtures, wall fixtures, tops of doors and window frames, corners and baseboards, windowsills, uncluttered tabletops, ceiling vents and uncluttered file cabinets
  • Spot cleaning doors, floor frames, light switches and walls
  • Emptying wastepaper receptacles and the shedder
  • Taking waste to designated area
Requirements:
  • Must have own transportation and valid driver's license

Requirements: Candidate shall meet and affirm the following requirements:
  • Must be able to install and configure new endpoint devices that conform to standards for connecting to department secure network within the division and for which is subsequently provided the day-to-day troubleshooting and general maintenance support.
  • Must be able to provide endpoint profile and configuration documentation if needed or as requested.
  • Must create and assist to maintain a stable endpoint network connectivity environment which also includes proper network map and license compliance.
  • Will receive minimal training from the Health Information Systems Office (HISO) at the initial launch of service and shall take responsibility for self-directed training thereafter.
  • Must abide by the Office of Enterprise Technology Services (ETS) and HISO procedures & requirements for installation and reconfiguration, including the provision of necessary hardware devices at the expense of the Contractor in order to efficiently and effectively comply with ETS and HISO requirements.
  • Must begin all service requests as described in the Description and Specification of Required Services within 24 hours at the specified location during normal business hours.

  • Some lifting may be required up to 35 pounds.
Place and Period of Performance: All on-site computer repairs and upgrades are to be done at the specified location within the division, which include various sites on Oahu, and will be indicated on the service request. Remote access troubleshooting and general maintenance support is strongly discouraged and only allowed when authorized by CDPHPD staff. The contract shall begin approximately on August 17, 2020.
